Opportunities are the pending donations that you want to track. By using the opportunities feature in Causeview, you are able to manage your major gifts donation process from inception all the way through to receiving and managing payments. As you work through the donation process, you will be able to track and move your major gift through the various stages. Each stage will equate to a probability percentage; helping you to forecast and plan for the potential revenue. Once you have been awarded the Grant, it will be converted to a Transaction where you can define the anticipated payment schedule and related follow up tasks.
You can also link opportunities to campaigns and appeals, which will allow you to measure the return on the campaign, and determine whether or not the campaign was successful.
Many other constituent management applications repurpose Opportunities to help track individual donations and do not make full use of the opportunities object within Salesforce. Causeview has maintained the native Opportunities object and designed it to allow you to track the prospects for major donations, grants, and corporate sponsorships. This will allow you to create and maintain a strong donation pipeline, and create a process for moving donors through the pipeline: from prospecting through to a donor.
Once you have been awarded your Grant you are ready to convert it to Transaction. Transaction is where we capture actual revenue. When converting to a Transaction, you will also be able to define the Payment schedule, along with the corresponding Allocations and any scheduled follow up Tasks.
First, convert the opportunity to a transaction by opening the opportunity and selecting “Convert to Transaction”.
You will be presented with the Transaction Conversion Page. From this page, you will create the anticipated payment schedule for your opportunity. The Red Boxes in the below screenshot highlight how to add (+) and remove payment records; to add, simply click the + tab, and to remove click the remove button. You are able to create as many payments as required. With each Payment, you will have to define the anticipated date when you expect to receive the payment. You also have the option to specify a reminder and the number of days in advance of the payment date. A task will be created for each reminder and prompt you when it comes due.
Each Payment will also require an allocation record. This will allocate your Transaction and Payment against a specific Appeal and Fund; giving you the ability to track how the money has been received; as well as how it is designated.
When you are ready to finish the transaction, click the Submit button. The system will now create a new transaction and assign it to the corresponding Individual or Organization. as well, the system will create the related Payments, Allocations, and Tasks you have defined. To locate the transaction, navigate to your Organization or Individual record, then select the transaction from the transaction related list, or, you can access it from the transactions tab.
Note:
Causeview has created a number of default stages to help you organize and manage your donation opportunity pipeline. Using these stages to help organize your pipeline will make your organization more efficient and will allow you to grow stronger connections with your donors.
- Identification
- Qualification
- Cultivation
- Solicitation
- Recognition
While these are the standard fields that we recommend for the different stages of an opportunity, you have the opportunity to modify the stages to custom fit your organization’s needs.
