Causeview's Pledge Manager allows you to apply a payment to a pledge, received from either individual donors or organizations. Pledge Manager also allows you to apply payments received from third parties such as Donor-Advised Funds. You can apply standard payments (such as cash or cheque), ACH or Credit Card payments.
Pledge Manager also allows you to split a single payment across multiple installments or partially fulfill an installment.
Installments where there is no remaining balance are deemed "Fulfilled" while installments where there is partial payment and there is a remaining balance are deemed "Partially Fulfilled".
Please note that payments can only be applied to an installment if the Pledge Opportunity has a status of "Closed Won".
This article covers how to make a pledge payment.
Applying a Payment to Fulfill a Single Installment
1. On the Pledge Opportunity, click on Make Payment.
2. Specify who is making the payment. By default, it will assume that the pledge constituent is making the payment. However, you can search for another individual or organization if the payment is from a third-party. Click on "Contact" to search for an individual and click on "Account" to search for an organization.
3. Next, populate the payment information and click on Next.
For ACH or Credit Card payments, please check with your payment gateway to see if there is a limit on the maximum amount that your organization is allowed to process. If you try to process a payment with an amount that exceeds the max amount set at the payment gateway for your organization, it will result in a "Reject 39" code.
4. Pledge Manager will then display all open installments, meaning where the installment has not been fulfilled in full. By default, it will apply the payment amount to the very first installment on the list. If the payment amount exceeds the installment amount for the first installment, it will automatically carry over the payment balance to the next installment on the list.
Pledge Manager will also automatically expand the first installment to display the allocation information that was set for that installment. You can choose to keep the same allocations or change the allocation.
Click on Next to proceed.
5. Pledge Manager will then display a summary of the payment that is going to be processed and the installments and allocations that the payment is going to be applied to. Click on Next to proceed with processing the payment.
6. A confirmation message will display. Click on Ok to continue.
7. A success message will display after the payment has been processed successfully. You can then either choose to return to the opportunity or go to the transaction that has been created for the payment.
Applying a Payment to Multiple Installments
4. Pledge Manager will then display all open installments, meaning where the installment has not been fulfilled in full.
If the payment amount exceeds the installment amount for the first installment, it will automatically assume you are going to apply the payment to fulfill it so it will allocate the same amount as that of the installment amount. Then, it will automatically carry over the remaining payment balance to the next installment on the list.
In the example below, each installment is for $10,000. The payment received is for $15,000. So it automatically allocated $10,000 to the first installment to fulfill it and then it carried over the remaining payment balance of $5,000 to the next installment on the list.
Despite the default behaviour of how Pledge Manager applies payments, you are still able to make adjustments. So you could choose to only pay $7,500 of the first installment and another $7,500 for the second installment.
You specify the payment amount you wish to apply to each installment by changing the amount on the allocation. You can also change the allocation information if you wish to allocate the payment to a different appeal and/or fund or split the allocation.
Partially Fulfilling an Installment
By default, it will apply the payment amount to the very first installment since the payment amount is less than the installment amount.
Pledge Manager makes it easy for you to apply payments received from individual donors, organizations or even from a third-party. It also provides you with flexibility in determining how payments are to be applied to either fulfill or partially fulfill one or more installments.
