A Data List contains the available picklist options that will appear in the Dropdown List and their corresponding values that will write back to Causeview/Salesforce. Since the Data List presents donors a list of options they can conveniently and easily select from, Data Lists have the ability to improve donor's overall online donation experience. Furthermore, since donors are selecting the predefined options with preassigned mapping, this will ensure data accuracy since human data entry error is avoided from textbox input.
This article will show you the two areas you can edit a Data List, how you can edit a Data List from each area (Data List tab and in Toggle Design form builder interface), and how you can refresh or update your data list to ensure you all update information.
1) Edit a Data List from the Data List tab.
a) On the main navigation bar at the top, select "Data List" under "Forms".
b) The webpage with the menu of Data Lists will now appear, and you will be able to select the specific Data List you want to edit or you have the option to create a new Data List if you click "Create List" at the top right.
c) If you want to update an existing Data List, here are the available options to you:
i) "Items" - allows you to update the picklist values in the Dropdown List on the form, the back-end values to be mapped back to Causeview/Salesforce and the relationship of picklist values to other Dropdown lists if applicable.
There are 3 main sections you can update: Value, Label, and Relationship Key:
Value – the value that writes back into Causeview/Salesforce.
Label – the name of the value that appears in the Dropdown list on the form that your constituents will see and select.
Relationship Key – the Parent-Child relationship assignment between controls. Ie. If you select ‘Canada’ from the Country list, it will automatically show a new list with its provinces.
ii) "Properties" - allows you to update the Data List as an entity (e.g. Title of the Data List, query, forms associated with the Data List, etc)
iii) "Copy" - Makes a copy of the Data List so you can make further edits to a new cloned version as opposed to affecting current Data List.
iv) "Forms" - Allows you to view all the online donation forms that uses this particular Data List and the number of forms that may be Impact Designered. This will help you understand which forms will be affected when you update the Data List.
2. Edit a Data List on the form (Toggle Design mode)
Select the Dropdown control and navigate to the "Data List" section of the Dropdown List Properties panel on the right.
You will have two options to update the Data List (a) Edit existing Data List or b) Lookup to assign new Data List):
a) Edit existing Data List by clicking on the pencil icon
A new "Edit Data List" window will appear, similar to step 1c) from above, you will be able to update the "Value" to be mapped on the backend in Causeview/Salesforce, the "Label" which is the name on the Dropdown list that your constituent can select, and Child Items (if applicable) are the dependent Dropdown list labels that will appear in related Dropdown. Similar to instructions in 1c), you can add/remove/update the Data List accordingly and hit "Save Data List" to replace existing Data List or clone a new version.
b) Lookup to assign new Data List by clicking the magnifying glass icon on the Data List's Dropdown List Properties:
New "Data List" window will appear, by selecting appropriate Data List from the existing data lists that are available and clicking "Assign", the Data List will be replaced with the new assigned list. Or you can simply click "Create New" to make a new Data List if none of the existing Data Lists apply.
3. Once you have updated your Data List, click save to ensure changes have been applied. You can then click on Toggle Preview to see the changes made to your Data List.
As you can see, Data Lists can be easily updated with a few simple steps, allowing you the flexibility to modify Data Lists' label names that appear on the form, backend mapping, and relationship to other Data Lists at any time. There are two convenient ways to update the Data List as well: on the form builder interface directly or on the Data Lists page.
3. Refreshing data lists
Impact does not automatically sync Appeals/Funds from Salesforce. This helps ensures unnecessary traffic via API calls to your Salefsorce instance does not occur regularly.
If a new Appeal or Fund is added to Salesforce and not visible in Impact, you'll want to Refresh the list to pull the updated data from Salesforce.
Navigate to Data Lists under Forms & Pages, and click refresh against the Data List.
